In short
Let clients pay the way they already pay for everything else: M-Pesa (with our free M-Pesa module for WHMCS), card and bank transfer. Connect each method to WHMCS so payments mark invoices paid and activate or renew accounts without you lifting a finger.
Methods your clients expect
| Method | How it works | Notes |
|---|---|---|
| M-Pesa | STK prompt on the client’s phone, or your paybill/till | Our free M-Pesa module for WHMCS confirms payments instantly |
| Card | Visa and Mastercard through a payment gateway | Good for corporate clients |
| Bank transfer | Client pays into your business account | Add the payment to WHMCS when it arrives |
Connect payments to WHMCS
- In WHMCS, open Payment Gateways and activate the gateways you use.
- Enter the API details from your payment provider’s dashboard.
- Test with a small invoice before going live.
When a payment arrives, WHMCS marks the invoice paid, creates or unsuspends the account and emails a receipt.
Good practice
- Show prices in Kenya shillings with tax clearly stated.
- Bill yearly where you can: fewer transactions, fewer missed payments.
- Send invoices early (7–14 days before the due date) with the payment details on the invoice.
- Keep records for tax: WHMCS reports help at year end.
Manual payments
Bank transfers and some mobile payments arrive outside WHMCS. Add them to the invoice in WHMCS (Add Payment) the same day so automation keeps working.
Avoid
- Asking clients to pay into a personal account: it looks untrustworthy and complicates your records.
- Waiting until after expiry to invoice: the client’s site goes down and they blame you.
How you price your packages matters as much as how you collect: see pricing your hosting plans.
